Planning a summer event can prove to be a real nightmare. The great British weather for one can turn a potentially perfect outdoor event into a washout. We’ve all been in that situation when the sun’s been shining all week, the garden furniture is laid out, the music system is set up on the patio, the bbq is lit, the guests are about to arrive and suddenly the heavens start to open. You’re then left in a spot of bother. I for one have been in this situation too many times and I have learned that you cannot trust the British summer and so will always take this into account.
There are also a number of other factors that can compromise the success of an event. Here are some tips to help ensure that you’re event goes off with precision.
One mistake that a lot of people make when it comes to planning an event is to focus too heavily on the little details which really shouldn’t take priority. As long as you keep focused on the larger picture; the finished product, the little details will look after themselves. For instance if you’re planning a jungle themed dinner party and cannot get the bamboo napkin holders that you were hoping for, don’t spend ages trying to track some down, simply buy some wicker string and make your own ties (cheap, simple and just as fitting). This will then increase your budget for other jungle props.
I’ve already mentioned the threat of adverse weather conditions. For a summer event it is essential to provide a sheltered area to combat this threat, if the rain does decide to come down unexpectedly you are then able to move tables and chairs under cover. For example a simple gazebo over the bbq which you can pick up from home base for under £15 and hire a small open fronted marquee which will still keep the garden party atmosphere even if the rain is coming down. Many people see rain as a party spoiler but as long as guests aren’t actually getting wet; it can actually bring a sense of excitement to the event. Offer shelter and embrace the conditions.
I personally believe that one of the most important aspects of a really great event is a centre piece. If you’re inviting all your friends and family, there are always people who haven’t met before or don’t know each other too well. In order to get everyone mixing and having fun is to provide some sort of entertainment, be it karaoke, table tennis, a Nintendo Wii or my personal favourite twister. Give people something to talk about to avoid the dreaded, boring, awkward small talk which you often get at such events.
Finally, ensure that all of your guests are comfortable. If you don’t own enough yourself, simply hire in what you need. There are hire companies all over the country that provide tables, chairs, linen, parasols etc… A good way to find your closest hire company is Google. If you live in London simply type in furniture hire London or table and chair hire London and it will list all of your local hire companies.
Good luck with your event!!
